We are seeking a highly organised and proactive Executive Assistant to support the General Secretary and broader Executive Office. This is a diverse and rewarding role combining classic EA responsibilities with a key organisational focus on health and safety coordination, stakeholder engagement, and event planning.

You’ll be at the heart of our operations, ensuring the Executive Office runs smoothly while also helping to uphold a safe, compliant, and well-organised workplace.

Key Responsibilities
In this exciting and multifaceted role, you will be:

  • Providing high-level secretarial and administrative support to the General Secretary.
  • Managing calendars, scheduling appointments, and organising travel and accommodation for the Executive Office.
  • Preparing correspondence, meeting agendas, reports, and minutes to a high standard.
  • Coordinating OFC Executive Committee meetings, OFC Congress, and other key internal events.
  • Assisting with budget management, processing invoices, and liaising with vendors.
  • Supporting project-based work and producing background research and briefing documents.
  • Ensuring compliance with health and safety practices across the Executive Office.
  • Building and maintaining strong working relationships across internal and external stakeholders.
  • Coordinate H&S reporting and contribute to compliance reviews.
  • Maintain knowledge of current H&S legislation and coordinate periodic reviews of operational processes.
  • Promote a positive health and safety culture across the organisation.

Qualifications and Experience

  • Relevant administrative qualifications and/or 3+ years’ experience supporting a senior executive.
  • Advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint)
  • Previous event management, Health & safety, or project coordination experience is an advantage.
  • Ability to communicate detailed instructions clearly across diverse audiences.
  • Experience working in a cross-cultural and dynamic environment.

Other Requirements

  • Fluent in English (French is a plus but not essential).
  • Eligible to work in New Zealand.
  • Must be able to satisfy a Ministry of Justice criminal history check.
  • Must be able to satisfy a credit history check.
  • A valid driver’s licence is preferred.
  • Must be able to satisfy a Working with Children check.
